Tasks

  • Support of the department management and program areas in Ulm in day-to-day operations
  • Planning, coordination and execution of administrative tasks, including procurement of office supplies, meeting room management and IT requests
  • Organization and follow-up of meetings, including minute taking and calendar management
  • Travel planning and expense reporting for domestic and international business trips
  • Reception and support of guests as well as internal and external communication
  • Handling of incoming and outgoing mail and emails
  • Maintenance of project documentation and reporting, including invoice and performance control
  • Substitution of other assistant roles within the department and support in minor improvement projects

Qualifications

  • Successfully completed commercial training (e.g. as an office management clerk) or a comparable qualification
  • Professional experience in a similar assistant role, ideally in a technical or project-oriented environment
  • Strong experience in travel management and confident organization of meetings and events required; technical understanding is an advantage
  • Very good knowledge of MS Office
  • Excellent German and English language skills (at least C1); additional languages are a plus
  • Willingness to travel occasionally
  • A valid, unrestricted work permit for the European Union (no student visa) is mandatory
