Tasks

  • Coordination of appointments as well as maintenance and management of the calendar
  • Organization of visits, meetings and conferences including billing and follow-up
  • Support with travel planning, budget management, expense tracking, procurement and document preparation
  • Maintenance of distribution lists, reception and forwarding of information
  • Preparation of presentations, assistance with KPI reporting and SQCDP
  • Management of building processes, office relocations, supply orders and IT requests
  • Fleet management for department vehicles, structured document filing and support for the facility coordinator
  • Collaboration with other secretarial teams

Qualifications

  • Completed vocational training as an industrial clerk, office communication clerk or a comparable qualification
  • Several years of professional experience in assistance and secretarial roles
  • Proficient in using MS Office, SAP and the Google Suite
  • Business fluent in German and English (at least C1); French is an advantage
  • Strong organizational skills with excellent time management, high communication competence and a detail-oriented, solution-focused working style
  • A valid, unrestricted work permit for the European Union (no student visa) is mandatory
