Tasks
- Administrative support for shopfloor managers in all aspects of day-to-day operations as well as assistance with special administrative topics (e.g. reporting of overtime hours)
- Handling of correspondence, calendar and appointment scheduling, and preparation of presentations based on templates
- Coordination of meetings, tracking of action items, and document archiving
- Processing of incoming and outgoing mail, taking and forwarding of phone calls (partially in English)
- Organization and booking of business trips, including visa arrangements as well as visitor support on site
- Procuring office supplies including invoice checks and maintenance of ordering data
- Creation, maintenance and filing of data records and documents
- Support in structuring and tracking recurring tasks and follow-up items
Qualifications
- Completed vocational training as Industrial Clerk, Wholesale and Export Clerk, Medical Assistant, IT Systems Management Assistant, or Legal Administrative Assistant, or a comparable commercial qualification
- Several years of professional experience in secretarial work / executive assistance, commercial administration, material planning / procurement, or purchasing / supplier management
- Basic knowledge of SAP and confident use of Google Workspace tools
- Fluent German skills (at least C1) and basic English skills (at least B1)
- A structured, reliable and independent working style
- Strong organizational skills, ability to work in a team and excellent communication abilities
- A valid, unrestricted work permit for the European Union (no student visa) is strictly required
