Responsibilities


  • Administrative support for special topics such as the creation of overtime reports
  • Mail and communication management: Evaluation and distribution of internal and external mail and phone calls, partly in foreign languages
  • Independently handle correspondence and manage the follow-up system
  • Meeting organization including creation of presentation materials based on templates and action tracking
  • Visitor support and comprehensive travel organization with booking, accounting, and visa procurement
  • Coordinate and execute scheduling for the team
  • Office supplies procurement including invoice verification and inventory management
  • Data maintenance: Creation and updating of databases as well as filing and archiving of documents


Qualifications

  • Completed commercial or technical vocational training
  • Several years of professional experience in the areas of secretariat/assistance, dispatch, procurement, or commercial administration
  • Initial application knowledge of SAP (especially R/3) and MS Office
  • Knowledge of further IT tools such as Windows, Click'n Buy (BySide), zamiz, or Google Workspace is an advantage
  • Business fluent German (at least C1) and proficient English
  • Strong teamwork skills, communication skills, and organizational talent
  • Reliable, responsible, and independent way of working
  • A valid, unrestricted work permit for the European Union (no student visa) is mandatory
